Calendar:
• Manage the DG’s calendar Includes: make logistical arrangements for meetings (boardroom or MS Teams link), address conflicts, identifying delegates for meetings, work with other offices to schedule meetings, etc.
• Coordinate bilat material between DG and Senior Directors
• Ensure the DG has required meeting material in advance of key meetings
• Review incoming invites to ensure proper action
• Book the DG’s enclosed office spaces reservation on Archibus
• Ensure coverage in the DG’s absence:
o Confirm A/DG
o Update/Manage the vacation calendar
o Prepare out office notice/send delegation email
o Draft the ADM's out of office message
Taskings:
• Monitor and follow up on all PPM deliverables
• Coordinate recurring taskings for PPM (Monthly Touchpoints, Backpocket information for Governance Meetings etc.)
Information Management:
• Ensure the maintenance of the Divsion's GcDocs folder
• Upload key emails to respective GcDocs folder
Administrative Duties:
• Submit and coordinate translation requests
• Manage a Distribution List
• Ensure the Master Employee Lists remains up to date
