  • All applications, resubmissions and passport transmissions received from the Visa Application Center (VAC) are scanned in/out and reconciled against relevant report daily
  • In-scanning of VAC intake is always completed before 9:00 am and supervisor is apprised without delay of any issue that may prevent the completion of in-scanning
  • Fee report is checked for correctness after intake of VAC applications is finalized
  • Total number of files scanned in the system always matches with the number of files received
  • Support is provided to the receptionist as needed and in a timely manner to ensure final decisions and requests are ready for pick-up by the VAC as per set service standards
  • Finalized applications are thinned, organized and put away as per standing instructions and methods
  • Put away bins and shelf are emptied regularly and as needed to avoid overflow and pile up of retired applications
  • Applications received from the VAC are checked daily for accuracy as per instructions provided by supervisor and errors are reported without delay to the person responsible to compile errors
  • Recording of payments and issuance of receipts for VAC and other fee payments are completed on the day the payment is received
  • Reconciliation of the deposit in the NBAD account against the VAC Fee Report is done daily by 2:30 pm and any discrepancy is reported immediately to the CRO
  • Refunds are completed in Integrated Payment and Revenue Management System (IPRMS) and updated in Global Case Management system (GCMS)
  • Reconciliation of fees paid in IPRMS is done with the CRO and daily, weekly and monthly reports are generated as per standing IPRMS procedures
  • IPRMS daily reconciliation reports are updated on SAP in a timely manner
  • Auditing IPRMS receipts when partially incomplete or show insufficient funds on a particular IPRMS receipt
