Responsibilities/Accountabilities • Administrative Support: Assist in various administrative tasks including document preparation, data entry, and managing correspondence. • Client Interaction: Serve as the first point of contact for clients and visitors, both in person and over the phone, ensuring a professional and welcoming experience. • Logistics, Shipping and Order Fulfillment: Oversee and assist in the coordination of shipping schedules, internal logistics, tracking, and order fulfillment process. • Telephone Management : Efficiently manage incoming calls, including screening, forwarding, and taking messages. • Document Management: Help in organizing and maintaining company records (Inbound & Outbound Packing Slips, Shipping Records), ensuring accuracy and confidentiality. • Office Supplies Management: Monitor and maintain inventory of office supplies, placing order requests as needed. • Mail/Package Handling: Manage incoming and outgoing mail, including sorting and distribution. • Customer Service: Address customer inquiries, providing information and assistance as needed. • Team Support: Collaborate with various departments to support their administrative needs. • Reporting: Maintenance and development of internal reports that will support sales, administration, and operations. Qualifications • Friendly and welcoming demeanor. • Strong organizational and multitasking skills. • Shows close attention to detail. • Excellent communication skills in English, both verbal and written. • Proficiency in office software (e.g., MS Office, Outlook). • Prior experience in an administrative or reception role is preferred. • Excellent Email Management and Record keeping abilities. WORKING CONDITIONS: • Regularly required to stand, walk and sit. • Ability to kneel, bend, squat, push, pull, and reach above and below waist. • Ability to use hands to operate office equipment, handle, reach or feel. • Occasionally lift and/or manipulate material over 35 lbs. • This is a full-time position with occasional switching to a Part-time schedule as needed. • Occasional exposure to Shop-Related activities
