  • Enter all pricing sheets and protect event space, ensuring the accuracy of pricing
  • Drafting all Facility Use Agreements and City Use Agreements for Convention Center events as well as those for Theater events, and sending them to the Sales Manager after the approval process
  • Collect all Facility Use Agreements from Clients as well as review them prior to sending them for signature
  • Obtain signature for Facility Use Agreements once first deposit is received and then send executed copy to Client
  • Collect all deposits owed by Clients (check, credit card, wire) and deliver to Finance department
  • Coordinate and run bi-weekly Event meeting, ensuring orders are being entered for Events so that we proactively collect any additional monies owed
  • Communicate with Event Services Managers regarding charges going over deposits owed and collecting any additional monies owed prior to the Event taking place
  • Collect all insurance documents from Client and ensure their accuracy to TSJ guidelines
  • Communicate with Clients via email and/or phone call when items are past due
  • Communicate with Sales managers regarding tentative space holds and strength of opportunities
  • Release event space when dates/pricing etc. do not work for Client ensuring inventory is available for any potential business
  • Revise space/pricing for events and subsequently revise Facility Use Agreements and/or issue space addendums if space and/or space or pricing has changed
  • Review clause revision requests from Clients and reach out to lawyer if needed
  • Answer Client questions and direct them to the proper person if I do not have the answer
  • Enter post event rebates and ensure pricing for event is accurate
  • Turn meetings definite when Director of Revenue is out of office
  • Handle side tasks as requested by Director of Revenue
  • Coordinate HBID meetings 6-9 times per year including coordinating schedules of Board of Directors, meeting agenda and running the meeting.
  • Compiling the Theater Report, a report which is sent to the City of San Jose
