Administration
- Manage executive calendars, scheduling meetings and coordinating daily activities and travel arrangements;
- Organize, classify, archive and maintain files, correspondence, records and other documents;
- Write and format business correspondence in French and English;
- Organize and coordinate weekly management team meetings and transcribed meeting minutes;
- Develop tracking spreadsheets with Microsoft Excel and SharePoint list;
- Use database software; plan and create the database structure; enter and process data and queries, produce reports and labels with Access;
- Facilitate onboarding for incoming office staff.
- Develop standard office procedures.
Accounting
- Monitor budget expenditures for the manager's office.
- Create and modify Funds Commitments, Funds Reservations and Purchase Requisition, match credit card transaction, enter and review data for Business Planning and Consolidation exercise and export financial reports in SAP;
- Manage accounting books from supporting documents and journals manually and computerized;
- Calculate and prepare documents relating to purchases and sales, calculate international payments, simple interest and compound interest;
- Prepare payroll: calculation of salary, source deductions and employer contributions;
- Produce tables and graphs on Excel using mathematical, logical, financial, logical and statistical functions;
- Prepare deposits, keep the petty cash register, do the bank reconciliation and prepare a manual and computerized cash budget;
- File income tax returns for the individual using tax filing software;
- Write and format financial statements such as: balance sheet, income statement, trial balance, comparative and forecast statements;
Customer Service and Sales
- Communicate professionally with customers, answering questions and addressing concerns to boost satisfaction;
- Manage, in French and in English, the communications of an office: receive, establish and route telephone calls;
- Greet customers and inform them about the use and maintenance of goods as well as advise them on products or services;
- Manage tour groups by keeping on schedule and quickly handling issues to promote positive experiences.
