- Coordinate and schedule meetings between new potential clients (leads) and the sales team with pipe drive (highlevel)
- Ensure timely follow-ups by aligning lead availability with sales representatives' calendars.
- Maintain and update CRM (Customer Relationship Management) systems with meeting details and lead status.
- Prioritize high-value leads for quicker engagement.
- Communicate effectively with both leads and internal team members to confirm meeting times.
- Send calendar invites, meeting agendas, and reminders.
- Collect and verify clients' bank statements as part of the application process.
- Ensure all required identity documents (e.g., passport, ID card, proof of address) are received and valid.
- Create individual folders for each client (digital or physical) containing:
Bank statements
Identity documents
Completed application forms
- Label and organize folders systematically for easy retrieval and audit compliance.
- Maintain confidentiality and handle all documents in accordance with data protection policies.
- Accurately complete client application forms based on provided information and documentation.
- Review all entries for consistency, completeness, and compliance before submission.
- Upload completed applications to PandaDoc for digital processing and signature.
- Set up documents in PandaDoc with appropriate fields for client input and e-signature.
- Send documents securely to clients and monitor for completion.
- Follow up with clients as needed to ensure timely submission.
- Maintain records of sent and signed applications for internal tracking and audits.
- Generate and send accurate client invoices using QuickBooks.
- Ensure all billable services or products are correctly itemized with applicable taxes and terms.
Send timely payment reminders and follow up with clients via email or phone.
