Greet and welcome visitors with a friendly, approachable attitude upon arrival, ensuring they feel comfortable and direct to the appropriate staff
Operate a multi-line phone system, answering phones professionally in accordance with organization protocols and accurately directing a high volume of calls to appropriate staff or providing program information and referrals to other agencies
Manage mail, packages, and courier deliveries
Organize master calendar, schedule appointments and document updates in scheduling software, manage conference room schedule
Maintain clean and orderly reception area, including seating and reading materials
Handle cash transactions related to services rendered at front desk for example, overpayment collections
Manage office supply inventory by regularly checking stock levels and ordering new supplies
Operate office equipment such as photocopiers, fax machines, and printers efficiently
Provide basic troubleshooting assistance for minor technical issues with computers or other equipment
Assist visitors with computer, fax, and printing as well as assistance with filling out applications, paperwork etc
Prepare conference rooms for meetings by setting up chairs, tables, projectors, refreshments if required
Contribute to a positive work environment by always maintaining professional communication with colleagues
Respond to email inquiries promptly, providing accurate information or forwarding messages to appropriate party
Maintain well-organized physical and digital records, update spreadsheets, maintain monthly stats
Deliver skilled administrative support for diverse daily staff needs and special projects.
