JOB RESPONSIBILITIES
Operations
Manage vendor relationships, including transportation, catering, and equipment rentals, ensuring timely service and cost efficiency.
Support executive leadership with calendar management, meeting preparation, and travel logistics.
Oversee office space logistics, including procurement of equipment and supervising facility upgrades for scalability.
Handle contract administration for service vendors, ensuring compliance and timely renewals.
Organize company events and offsites, such as wrap parties, team-building retreats, and festival submissions.
Maintain asset tracking systems and ensure data security policies are upheld for media files and confidential client content.
Ensure compliance with operational standards in safety, environmental policy, and regulatory reporting across departments.
Collaborate with cross-functional teams (engineering, procurement, logistics) to streamline workflows and reduce operational delays.
Prepare and track departmental budgets, analyzing cost-efficiency and identifying areas for operational improvement.
Facilitate onboarding of new hires, ensuring all operational tools, resources, and compliance trainings are in place.

Administration

Co-ordinate the procurement of business insurance quotes, liaised with insurance providers, managed annual review of office insurance polices.
Support the Director and Senior Level executives by providing secretarial and administrative support in a fast-paced and challenging environment.
Supervise day-to-day operations, including front office, security, transportation, invoicing, office supplies, general office expenses, courier / postal services and personnel welfare.
Effectively maintain and monitor the business data and asset management systems.
