Managing the space and amenities through regular space and behavioral sweeps, restocking, as well as logging and tracking of issues through to resolution within the mandated SLA. Aligning with team norms for coverage and all job accountabilities. Act as back-up in other Ecosystems as required. Employee & Visitor Experience: Act as a central point of contact for employees, partners, and guests in the Ecosystem by providing operational support: Represent and advocate on behalf of the Ecosystem population to the program team, line management and Ecosystem Governance Council. Champions a high-performance environment and motivates their peers and Ecosystem by fostering diversity, equity and inclusion through an inclusive work environment. Manage all communications to and from the Ecosystem population via the central designated channels. Monitor and track the Ecosystem population list to the finance work stream for accurate reporting to the program. Identify any concerns to management. Deliver Ecosystem orientation for new employees, to ensure they work productively in the activity based working model including how to use meeting room technology and various spaces within. Ensure meeting rooms are maintained according to Ecosystem standards including being first point of troubleshooting technology in the rooms. Organize and provide tours of Ecosystem to other Scotiabank employees and external visitors. Administration & Facility Management. Security: Maintaining records of keys, access badges relating to premises and site access control. Maintenance: Proactively coordinate with Building Services, Real Estate, or other partners on issues with cleaning, HVAC, lighting etc. to ensure any operational, janitorial issues are resolved quickly and within SLA. Amenities: Ensuring stationery, drink stations and all amenities are stocked and operational. Financial Responsibilities: Responsible for submitting and tracking invoices and escalate processing of as necessary within SLA; Managing of engagement budget & stationary/amenities spending. OHS/Fire Warden/First Aid: Participate in the OHS committee as a member representing their Ecosystem, attend monthly meetings, track reporting, maintain updated OHS board, act as Fire Warden and First Aid Attendant (certified training provided). Community Engagement: Plan and Implement events to engage the Ecosystem Population through themed days, games, music and food both virtually and on-site. Amplify communications for events to the ecosystem population via the Teams channel and Viva Engage, as well as maintain an ecosystem calendar highlighting upcoming events in the space. Reviewing the meeting room, food and beverage, and audio-visual setup in advance of the client’s arrival, and liaising with operations teams to remedy deficiencies. Oversees and supports the execution of setup and access for guests. Continuous Improvement: Develop and maintain processes and procedures for the ecosystem on behalf of the Operations Team. Support the ABWT program, and provide input to leadership and the program team regarding opportunities for reinforcing change. Embed a Continuous Improvement approach while executing all accountabilities. Co-create and execute a feedback process to input initiators, and ensure the wider population is kept informed appropriately.
