Admission Requirements

Withdrawals/Terminations
A student may cancel the contract up to the day before the commencement of the course or program, at which time the student is entitled to a refund that includes all tuition fees paid by the student as outlined in the student contract; and any monies that the student has paid for learning materials and has not received. (Section 5-5 (1) Private Vocational Schools Regulation 2022).
I understand that I must provide written notice to the Institution if I wish to withdraw from the Program and terminate this contract after the Program begins (Section 5-4 of the Private Vocational Schools Regulations 2022).
I understand that this contract is terminated on the date that the written notice is delivered.
Fee Payments and Tuition Refunds
I understand that I must notify my funding source of my withdrawal or the termination of this contract if I am receiving student financial assistance.
I understand that if the contract is terminated after the Program begins by providing written notice to the Institution, the Institution is entitled to the payment of tuition fees as outlined in Section 5-4 of the Private Vocational Schools Regulation 2022, which is as follows:
- 25% of the total tuition fees as identified in Part C: Program Cost of this contract if more than 20% but 50% or less of the instructional hours of the Program is provided.
- 100% if more than 50% of the instructional hours of the Program is provided.
If a student is absent from a course or program for 21 consecutive calendar days, the student is deemed to have discontinued the course or program, and the Institution shall immediately provide written notice to the student that the Institution will retain the applicable proportion (Section 5-4(5) of The Private Vocational Schools Regulations 2022).

Please be advised that private vocational schools are required to submit reports to the Ministry of Advanced Education containing information related to the school’s enrolled students.
In accordance with subsection 6-2 of The Private Vocational Schools Regulations, 2022, schools are required to submit reports and records containing the following information with respect to each student enrolled in a course or program for the previous year, the student’s:
- Full name
- Gender
- Date of birth
- Residential address and permanent address
- Residential telephone number and permanent telephone number
- The course or program in which the student is enrolled
- The enrollment date for each course or program
- The completion or discontinuance date for each course or program
- The academic or equivalent qualifications for the student at the time of enrollment for each course or program

Training Completion Plan
In accordance with Section 2-5 of The Private Vocational Schools Regulations, 2022, every Category I school shall have a training completion plan for each course or program offered to ensure that students are compensated for the discontinuation of the course or program or are able to complete the course or program with a post-secondary educational institution that is recognized by the Minister. If the Institute has identified that the course or program in which the student is enrolled is unique and unavailable elsewhere, the student should be advised of this in the student contract.

SECTION 2: STUDENT FUNDING RESPONSIBILITIES
Responsibilities for Securing, Preserving and Repaying Student Aid Funding
The Student is aware and agrees it is the responsibility of the Student to secure adequate funding to support coming to school.
The College provides assistance to Students, free of charge, to secure funding and support application(s) to Student Aid and other funding agencies.
In receiving the College’s assistance, the Student understands and agrees that:
- The Student retains the primary responsibility for securing funding from Student Aid or other sources.
- The student is required to gather and submit information to funding agencies in a timely manner to ensure that their funding application is not delayed.
- Student Aid funding is only secured and approved for the purpose of paying College tuition and books, not to pay off other debts or expenses not involving school.
- Student Aid funding may provide limited funds to offset some living expenses while students’ attend school; however, funding agencies expect students to secure part-time jobs to earn employment income while going to College.
- Students are aware they are not allowed to change their loan payment schedule without receiving prior approval by the College, and understand they are putting their program at risk and could be subject to penalties and/or immediate termination.
- Upon leaving the college, students are required to repay their student loans and keep them in good standing in order to avoid potential impact on their credit rating and wage or tax return garnishee
- If a student withdraws or is terminated from their program, any eligible grants the student has received will turn into debts that the student will need to repay.
- If a student has difficulties in repaying their student loan, Student Aid’s Repayment Assistance Program (RAP) provides payment relief to assist students to keep their loan in good standing.
Starting Without Confirmed Funding
The Student is aware they may start attending classes prior to receiving final funding confirmation from Student Aid or other approved funding source.
The Student is aware if funding is unable to be secured despite full and timely effort by the student, that if the student decides to discontinue attending their program, then:
- The Student is aware and understands that this is limited to 90 days after starting school. After which, the regular Ministry-regulated termination clauses will be in effect if the student continues to attend after this point without confirmed funding in place, unless otherwise agreed in writing after this date.
Attendance Policy
Students are expected to attend classes on a regular basis.
- If a student is absent from classes, then it is their responsibility to notify their Instructor/Student Services of their absence.
- If a student knows in advance they are going to be absent then the student needs to communicate this to their instructor in advance so that a plan can be coordinated to keep a student’s studies on track.
Student Aid regulations state that a student’s funding will be cancelled if:
- A student misses 5 consecutive school days AND there has been no contact by the student with the College providing a reasonable excuse i.e.. excused absence.
- A student misses 20 consecutive school days REGARDLESS of whether the absences were excused or unexcused.
In both cases, Student Aid is required to be notified, and this will result in immediate termination of funding as of the 1st day of the absences. Excused absences from class may include illness, family emergencies or other extenuating circumstances that prevents you from attending. If a student provides a reasonable excuse after we have reported your absence, funding may be reinstated as long as you can still complete studies by the original contractual end date.
SECTION 3: PROGRAM INFORMATION
Program Delivery
Students must have basic computer skills to complete this program, including:
- Turning on and operating a computer
- Sending and receiving emails
- Capturing, printing, attaching, saving, and scanning documents/photos
- Navigating online resources
- Downloading and using communication software (e.g., MS Teams, Zoom)
Students are further aware that:
Student schedules:
- Courses are scheduled in a modular/sequential format, meaning students take one or two courses at a time.
- Courses have set start and end dates. Course start and end dates are not flexible, and all course work must be completed by the prescribed end date.
- Course schedules are not provided in advance to students as the scheduling of courses and instructors change on a regular basis. If students have questions about their schedule they can request a tentative schedule from their current instructor. Students will receive all courses within their prescribed contract time period, excepting where a student needs to remediate a course that has been failed.
- Any incomplete courses (excused or failed) must be completed before the contract end date. If no contract amendment is signed, students who have not completed their program may be withdrawn.
Program Transfers:
- Program transfers may be approved up to 90 days after a student starts their program by submitting a request in writing to the Student Services Department. After 90 days have passed, it is expected that the student will remain in the program originally enrolled in for the duration of their time at the College.
- Program transfers are limited to one program per student lifetime and may shorten or extend the original contract end date, which may affect a student’s loan repayment grace-period.
- Requests must be submitted in writing to the Student Services department for approval. It is mandatory the student speaks to Student Finance to understand any potential financial implications prior to final approval of the program transfer. Student incentives provided at time of original enrollment are not transferable to another person or program.
Progress management:
- During each course students need to access their course materials at least 5 times each week.
- On average students must be prepared to spend 20 to 30 hours per week on their studies.
- Courses are generally paced for an average student to study 4 hours per day, or 20 hours per week of commitment not including homework.
Mastery-Based Learning:
SBC College supports greater student academic success through its’ modular course scheduling and more frequent assessments covering less material and reduced weighting, which also then helps reduce exam anxiety.
Course Overviews (COVVs):
- COVVs are provided to students at the commencement of each course.
- The COVV outlines the length of the course, the textbook and learning materials used, the knowledge assessment (KAs) framework and the marks weighting scheme.
- Outline specific deadlines for assignments, quizzes, and knowledge assessments.
- Some coursework may require students to submit video or audio recordings.
Support Hours and Delivery:
- Instructional support is available Monday – Friday, 8:00 AM – 4:30 PM.
- Instructors respond to emails during business hours. Emails sent after hours will be addressed the next working day.
- Instructors use various teaching methods, including live video lectures, recorded lectures, PowerPoint presentations, web-based materials, and interactive discussions.
Some courses offer extended support hours or designated help email contacts. Additional support may include phone consultations or remote desktop assistance for troubleshooting technical issues.
Microsoft Office Software
The College provides students with a Microsoft Office 365 (O365) subscription.
- Students agree to abide by the O365 terms and understand the agreement is subject to change.
- O365 access is valid only while actively enrolled. Access will be terminated immediately after being disenrolled or withdrawn, and 60 days after graduation.
- All student data on the College network is owned by the College
The College offers limited technical support for installing O365 on Windows 10 or higher but does not support Mac/Apple devices, or older operating systems.
Computer Requirements
The Student is aware and agrees it is the responsibility of the Student to review and meet the recommended computer requirements. The Student is aware failure to meet the minimum computer requirements could result in technological issues that will not be addressed by the College.
The Student is aware only Windows OS will be supported, the courses at SBC College are NOT compatible with Apple OS or Chromebooks.

Practicums
Practicums provide real-world experience but do not guarantee employment after graduation. To begin a practicum, students must:
- Achieve the minimum passing grade for all courses.
- Meet all financial obligations to the College.
- Submit all practicum documents by Career Services deadlines.
Practicums may be completed through work placements or capstone projects.
Medical Office Administration (MOA) program
Students enrolled in the Medical Office Administration (MOA) program are required to obtain:
1. Criminal Record Check
2. MOA students are aware practicum sites may require an immunization report, and that failure to submit these forms will:
- Disqualify the student from going out on practicum.
- Disqualify the student from receiving their diploma.
If students have any concerns regarding criminal checks or immunizations, they should discuss their concerns with the Career Services team near the end of their program.
Legal Assistant (LA) program
Students enrolled in the LA program are advised of the following:
1. Criminal Record Checks (CRC) – students are advised they may be required to obtain CRC clearances prior to practicum and/or employment with law firms or government.
2. Typing speed – students are advised law firms may require minimum typing speeds of 60 to 80 wpm.
English Language Proficiency
Proof of English Language Proficiency (applies to both Standard and Mature admission) Candidates who have not completed their high school in Canada are required to provide proof of English proficiency. The student must also achieve the Canadian Language Benchmark (CLB 5) through one or more of the following language proficiency requirements for enrollment under Standard Admissions as well as Mature Admission.

Accommodation Requests
If you have a disability or medical condition which requires specialized equipment and/or request an accommodation, then you may be required to inform the college admissions advisor at the time of enrollment application prior to confirming acceptance as a student.
A “Request for Accommodation” form will need to be submitted to the College along with information regarding your condition and your specific request for the type of accommodation requested of the College. The College will then review and respond to your request in a timely manner. Failure to notify the College of any accommodation request in advance of a student starting their program will negate any obligation of the College to support the accommodate nor require the College to refund tuition fees.

Completion Scholarship Terms & Conditions

Eligibility: New prospective students must start in their program of study by their contract start date. Students must be in good standing with all program fees paid in full prior to the issuance of the scholarship payment.
Completion: Students must successfully complete their program of study within 60 days of their original contract end date. Program completion includes successfully passing all academic, computer skilling and practicum/capstone components. For a student to receive their completion scholarship, they must submit an Application for Completion Scholarship after successfully completing their program.
Financial: Scholarship monies are not eligible to be used as payment for monies owing to the College for program fees. Completion scholarships will be used by the College to put towards student loan repayment.
Non-Transferable: This scholarship offer is not transferable to a different program or individual.
Payment: Completion scholarships will be paid to the Canada Student loan only on a monthly basis. Due to Canada Student Loans providing a 6-month interest-free grace-period, payments will begin after the student loan 6-month grace-period has ended and will continue until the awarded completion scholarship balance is paid. Students who chose to self-pay will have their monthly scholarship payments sent to them directly until the awarded completion scholarship balance is paid.
Laptop Voucher Terms & Conditions
Eligibility: Students may be eligible for a one-time $300 gift card to Best Buy for the purpose of purchasing a laptop that meets the College’s minimum technology requirements to complete their studies. This offer is extended to Canadian residents, taking a program with the College for the first time. A laptop voucher will be released to an eligible student once the following financial obligations have been met:
1. Tuition has been approved by the Students’ source of student funding.
2. The Student has completed their Master Student Financial Aid Agreement (MSFAA) and completed any consent or declaration forms (if applicable).
3. The Student has signed their course agreement for their first course upon their scheduled start date.
Withdrawal Terms
The value of the laptop voucher is non-refundable once redeemed and will not be included in the Students’ drop calculation to their student source of funding. It is the Students’ responsibility to repay this value to their source of student funding if the Student is unsuccessful in completing their first course or have been withdrawn from studies.
$500 Refer-A-Friend Bonuses
The College offers students the opportunity to refer a friend and earn a $500 bonus for each friend who starts a program at the college, attends/stays for 60 days and is in good financial standing.
- If someone you know could benefit from a new career, please provide their information to one of the College’s Admissions Advisors. This referral program is for new inquiries only. As such we ask that referrals be provided directly to Admission Advisors rather than students approaching referred persons, and prior to online inquiries being made.
- Eligibility for the referral bonus is limited to students who have not inquired with the College prior
- If the referring student is in financial arrears with the College, the referral bonus amount may be applied to the outstanding debt owed by the student.
- For referred students who attended 60 days, please note processing may take up to 30 days for payment.
